1. Who we are
Fawnzee is an app and website run by Behind the Scenes with Chris LLC, a California limited liability company ("we" or "us"). This Privacy Policy explains what information we collect when you use the Fawnzee app and fawnzee.com, why we use it, who receives it, how long we keep it and the choices you have. Questions: support@fawnzee.com.
2. What this policy covers
This policy applies to clients, co-planners and vendors who use the app or website, and to the information people share with us by email. You must be 18 or older to use Fawnzee (section 11).
3. What we collect
From you:
- Account: your name, email address, language, the phone number you verify, and your confirmation that you’re 18 or older.
- Events: event type, date and times, places, guest count, the vendors you need, your budgets, and your answers and notes.
- What you send in the app: requests, offers, questions and messages (with the photos you attach), reviews and ratings, reports, and suggestions you send through "Can’t find it? Tell us".
- When you book: your legal name (and your company’s name if you book for a business), a phone number for the vendor if you give one, your typed signature with when you signed and the internet address and device you signed from, and your consents.
- Payments: Stripe handles card payments. We keep the card brand, the last 4 digits, the amounts and dates, never the full card number.
- Support: what you write to us.
If you’re a vendor: your business name and legal name, services, prices, packages and extras, service area and base ZIP code, business phone, photos, card headlines, license and permit numbers, insurance certificates and other documents you upload, and your payout status from Stripe. For payouts, Stripe collects your identity details (such as your date of birth, Social Security number and an ID document) and bank account itself; we don’t receive them, only whether Stripe verified them.
- Owner tags (vendors, optional): if you choose a tag like "Latino-owned", we show it on your listing and let clients filter by it. It can reveal ethnicity. Turn it off any time and we delete it.
- Vendors’ calendars: a vendor can give us a private link to their own calendar. We keep it encrypted and read only which days are busy; we don’t keep event titles or details. A vendor can also add their Fawnzee bookings to their own calendar app (such as Google, Apple or Outlook) through a private link they can replace at any time. That feed shows the event type, the service booked, the client’s first name and last initial, the venue address and the booking number, never phone numbers, emails, amounts or notes. The vendor’s calendar company keeps those details under the vendor’s account.
From Apple: if you use Sign in with Apple, your name and email (or Apple’s private relay email); the age range your Apple Account shares (for example "18 or older"), never your birth date; and the token that lets us send you notifications.
From your device and our servers: the app version, a random code for each install (not a device identifier), your notification settings, error reports without your name, email or account, and the internet address and device type used for a phone check, a signature or a sign-in. When you ask for a sign-in code, Cloudflare may check that a person is asking; that check uses device and browser signals and your internet address, for that check only.
Created by the app: your bookings and payments, a client’s reply rate and short track record (section 5), vendors’ ratings and badges, which vendors appeared in your results, the searches and requests that found no vendor (so we know where vendors are needed), and which listings you opened.
- Vendors you looked at: when you open a vendor’s listing from one of your events, we remember it so your results can show "Seen by you". Only you see it: not vendors, and not the people planning with you. It’s in your data copy. We delete it 400 days after you last looked, or when you delete your account.
We don’t read your phone’s location, contacts or photos, except the photos you choose to upload. We turn the addresses you type into map locations to match vendors and measure distances.
Vendor applications on our website
If you apply to be a vendor on fawnzee.com, we collect what you write in the application: your business name, your name, cell phone and email, your Instagram or website if you add one, your services, where you’re based and where you work, your usual prices and an example package, the languages you work in, your years in business, how you get bookings today, the phone you use, when and how to reach you, how you heard about us, anything else you tell us, such as other vendors you suggest, and your OK for us to contact you. We use it only to contact you about joining Fawnzee. When you send it, it goes to our Google Form (directly, or passed along by Cloudflare, which hosts our website), and Google keeps it in that form and in our Google Sheet. We never sell it or share it for ads. If you join, what your listing needs moves into your vendor account and section 9’s account rules apply. If you don’t, we delete your application 12 months after you send it. To ask us to delete it sooner, email hello@fawnzee.com.
4. How we use it
- To match requests with vendors whose prices and service area fit, and to show offers.
- To run bookings, contracts, payments, payouts, refunds and Payment Protection.
- To send sign-in and signing codes, phone verification codes, and notices about your requests and bookings.
- To keep the app safe: reviewing vendor listings (with AI review only when the vendor chooses it, section 6), preventing fraud and enforcing our rules.
- To answer support requests and meet our legal duties.
- To publish statistics that identify no one, such as the starting-price ranges on our website, which appear only when enough vendors and bookings are counted.
5. Who sees your information
Sharing with the other side of a booking. Before a booking, contact details are hidden from both sides. After the client pays the deposit, the client and the vendor each see the other’s legal name, business name (for vendors), account email and a phone number (the one the client gives for that booking, or the vendor’s business phone), and the vendor sees the exact event addresses. Co-planners see the booking summary and the vendor’s contact details, but not the contract or the owner’s contact details. We email a copy of the signed contract, which shows names, the event date and the venue address, to the client and the vendor. A vendor’s home address is never shown, except when it’s printed on a document the vendor uploads for a booking, such as an insurance certificate for the venue.
What vendors see about you before you book. When you send a request, the vendors who get it see your first name and last initial, your event details and answers, your budget, the city and ZIP code, and whether your phone is verified. Once you’ve had at least 3 offers end, they also see how often you replied to offers in the last 180 days. After your first completed booking, they also see a short track record: the average stars and most common tags from other vendors’ ratings of your completed bookings, how many of your completed bookings were paid on time, and how many bookings you cancelled in the last 12 months. A vendor who made you an offer also sees whether, and when, you first opened it. Vendors never see who wrote a rating, when, or any private notes. If you think something is wrong, write to support@fawnzee.com. We’ll check it within 2 business days and fix any mistake.
When you say no. When you close a request or turn down an offer, we tell that vendor, along with any reasons you choose from our list (for example, "Price" or "Date changed").
Vendors rate clients too. After an event, the vendor can rate you with stars and short tags like "Clear communicator" or "Paid on time", and can add a private note that only our team sees. Vendors who get your requests see your average and the tags, never who wrote them. The app doesn’t show you these ratings yet: email support@fawnzee.com to get your summary or to tell us if something is wrong, and we’ll answer within 2 business days.
Reviews. Reviews you write about a vendor show on the vendor’s listing with your first name and last initial, the event type and the month. Before a vendor makes a client an offer, we hide that vendor’s name and contact details inside review text.
Venues you contact. When you ask a venue for a tour, we send that venue only the details shown on the tour screen, after you agree. The venue isn’t part of Fawnzee and uses them under its own privacy practices. After 400 days, we remove your contact details from our record of the request.
Your mobile number. We use the number you verify only to verify your account, to protect vendors from fake requests and to check that invites follow our rules (see Invites from a vendor you know, below). We never show it to vendors and never use it for marketing. Apart from the companies that host our app and its backups, we share it only with Twilio, which sends our texts. We don’t sell or share your mobile number with third parties or affiliates for their marketing. Message frequency: one text per code you request. Message and data rates may apply.
Your bank. If a card charge for a booking is disputed, we may send the cardholder’s bank and the card network, through Stripe, the booking’s records: the contract and its signature records, the payment and authorization records, the policy in force, the booking’s messages, and any Payment Protection reports about the booking with our decisions on them.
Who else receives information:
- Our service providers, which run parts of the app for us: hosting, database and file storage, payments, email, text messages, push notifications, AI review of vendor listings, error reports, website hosting, email forwarding, the sign-in check and backups. The full, current list, with what each one receives, is in the app under Account → Privacy & data (Profile → Privacy & data for vendors), and you can read it before you sign up. The list in the app (Privacy & data) also names services we’ve set up for features that aren’t on yet; they get none of your information until that feature is on.
- Services you use directly, which follow their own privacy policies: Apple (Sign in with Apple, Apple Pay and the age range) and Stripe (its own identity and bank checks).
- A public agency: the U.S. Census Geocoder receives event and venue addresses, never names, to place them on the map.
- For legal reasons and safety: when the law requires it, to respond to legal process, to protect someone’s safety, or to defend legal claims.
- If the business is sold or merged: the buyer, under this policy.
Invites from a vendor you know
A vendor can create an invite for a client they already know, with an optional private label and details to pre-fill. We never contact the person invited: the vendor shares the code. When you accept an invite, the vendor sees that you accepted, and you see the vendor’s business name and cover photo before their offer. We erase the vendor’s label and pre-filled details 90 days after the invite ends; when a booking follows, we keep your acceptance with the booking’s records. To keep the invite rate to a vendor’s own clients, we check that your verified phone number isn’t one of the vendor’s and isn’t the number of someone the vendor met on Fawnzee. The vendor never sees your number.
6. AI
When a vendor chooses automated review, we send their listing’s text (business name, description, services, prices, packages, extras, additional terms and city), card headlines and photos to Anthropic, an outside AI company, to check them against our listing rules. The AI never rejects anyone: anything it flags goes to a person on our team, who decides. Under Anthropic’s terms, Anthropic doesn’t use this to train its AI and deletes it within 30 days, unless it’s flagged for misuse or the law requires keeping it. A vendor who chooses review by a person sends nothing to an AI service. We don’t use AI to make decisions about clients.
7. Sensitive information
Some information counts as sensitive: the owner tags vendors choose (they can reveal ethnicity), private messages between you and the other side of a booking, and the age range Apple shares. We use it only to provide the app and to keep it safe, and we don’t use it to infer things about you. Owner tags never change a vendor’s place in results or fee.
8. No selling, no ads, no tracking
We don’t sell or share your personal information, as California law defines those words, so there’s no "Do Not Sell or Share" link. If your browser sends a Global Privacy Control signal, we treat it as a request not to sell or share, which we already don’t. We don’t show ads.
We don’t track you across other websites or apps, and we don’t let others do it through Fawnzee. Because there’s no tracking to turn off, our site doesn’t respond differently to "Do Not Track" signals.
Our website sets no cookies and runs no analytics or advertising scripts. Your language choice is saved only in your browser, and on our vendor application page your unsent answers are saved only in that browser tab until you close it. Cloudflare, which hosts the site, keeps standard request logs (such as internet addresses and browser types).
9. How long we keep it
We keep your information while your account is open. When you delete your account (section 10), we delete your information or remove what identifies you, except the records below, which we keep for the period shown, counted from when your account is deleted, and then delete:
- Signed contracts and signature records, and the date and place of booked events: 7 years.
- Payments, refunds, payouts and tax records: 7 years.
- Your acceptance of our terms, and your consents: 7 years.
- Fraud-prevention and safety records, such as reports, restrictions and suspensions: 2 years.
- Documents and licenses a vendor provided that a booking relied on: 4 years.
- Booking messages you sent: 4 years. The other person in the chat still sees them, from "Deleted account".
- Photos and notes from reported problems, and records of payment disputes: 4 years.
- Records of what our team did on your account (for example, a refund decision or a suspension): 7 years.
- Reviews and ratings you wrote: while they’re shown, as "Former client".
When a vendor deletes their account, their listing and its reviews leave the app, and the text of those reviews is deleted after 365 days. Ratings about a client who deletes their account are removed.
Phone checks. To stop one phone number from being used for many accounts, we keep a record of each phone check (the number, the account, when it happened, and the internet address and device type it came from) for 365 days, even if you remove the number or delete your account. While a number is on your account, the check that verified it stays with it. We use these records only to prevent fraud.
Other periods: "Seen by you" markers, 400 days after you last looked (section 3); your contact details on a venue tour request, 400 days (section 5); age-check records, 2 years (section 11); notices in the app’s list, about a year; a data copy we prepare for you, 30 days after we make it. "Can’t find it? Tell us" suggestions are kept until you delete your account.
Vendor applications from our website: until you join, or 12 months after you send one; sooner if you ask (section 3).
Backups. After you delete something, copies can stay in our encrypted backups for up to 35 days until those backups are replaced. We never use backups to bring back a deleted account. If we ever restore a backup after an outage, we delete that information again.
10. Your choices and requests
- Get a copy of your data: in the app, open Account → Privacy & data (Profile for vendors) and tap Get a copy of my data, which starts an email to us, or email support@fawnzee.com from your account’s email address. Our team prepares a file with your data and sends it to your account’s email address. It includes your account, events, requests, bookings, payments, the messages you sent, the reviews you wrote, the reviews published about your business if you’re a vendor, and your "Seen by you" markers. To protect other people, it shows them only as you already saw them (for example, a vendor’s business name or a client’s first name and last initial). It doesn’t include the ratings vendors gave you as a client yet; ask us and we’ll send you that summary.
- Correct your information: edit it in the app, or email us. To change the email on your account, email us.
- Delete your account: in Privacy & data, tap Delete account (how it works). Before you confirm, the app shows what’s deleted and what’s kept, and for how long. With Delete now, your account closes right away and we usually finish deleting your data within a day; we email you when it’s done.
- Owner tags and AI review (vendors): turn owner tags off in Profile → Business profile, and switch between automated review and review by a person in Profile → Policies.
- Notifications and texts: change notifications in the app’s settings. Reply STOP to a code text to stop texts to that number.
How we handle requests. We’ll confirm we got your request within 10 business days and may ask you to confirm it’s you through your account’s email. We answer within 45 days; if we need more time, we’ll tell you why and take up to 45 more days. We don’t charge for requests, and we won’t treat you differently for making one.
California law. The California Consumer Privacy Act doesn’t apply to us at this time. We still honor these requests from everyone, and if the law starts to apply, we’ll update this policy.
11. Age
Fawnzee is for adults 18 and older. On iPhones that support it, we ask Apple for the age range your Apple Account shares, never your birth date. If it shows you’re under 18, we close the account right away and delete it after at least 7 days. If it shows you’re under 13, we start deleting the account right away. Once we’ve recorded the result, we don’t keep the age range itself or how it was declared: we keep only the result of the check and when it happened, and we delete those records after 2 years. We don’t knowingly collect information from children. If you think a child is using Fawnzee, email support@fawnzee.com.
12. Security
We use encryption in transit, store calendar links and sign-in secrets encrypted, encrypt our database backups with our own key, limit who on our team can see your information, and never keep full card numbers. No system is perfect. If we learn of a breach that affects you, we’ll tell you as the law requires.
13. Changes
When we change this policy, we publish a new version with its own effective date at a new permanent address, and the app asks you to accept it. A change in meaning is always a new version. We may fix a typo or make wording clearer, in English or in the Spanish translation, without changing what a version means.
